Lambert Smith Hampton (LSH), offers expert advice across the entire property industry.

We spoke with Mark Stewart, Health and Safety Director at LSH about their use of Info Exchange to manage their Planned Preventative Maintenance.

"All of our reporting is completed through Info Exchange. We have a huge variety of reports, in whatever type of matrix, and Info Exchange allows us to seamlessly complete them. We’re able to benchmark properties against each other to see which is compliant and working more effectively.

We’ve also recently integrated Alcumus SafeContractor into our operation. This enables us to allocate a piece of work or job to a specified contractor. We now get a complete audit trail of who’s working on what."

Mark Stewart,
Health and Safety Director
How did you manage your property compliance before implementing Info Exchange?
We used to manage our planned preventative maintenance (PPM) compliance through Property Plus and RAMIS. This wasn’t a complete system from an asset and compliance point of view. We needed a provider whose software crossed the line between health and safety and facilities management. Info Exchange were able to implement this, which was great.

Could you tell me a little about SFG20 and how it applies to LSH?
SFG20 is the standard maintenance specification for building engineering services. It’s recognised as the industry standard and is kept up to date with legal guidelines ensuring users are informed of the latest legislative requirements.  Contractors, facilities managers and building owners find this invaluable to understand the parameters they are working within, plus the cost and efficiency savings for clients. Lambert Smith Hampton have a licence with SFG20. They essentially provide details of property assets, such as lifts, fire alarms or emergency lighting, and what we should do from a legislation perspective for each of them.

Info Exchange allows us to remain compliant, act consistently across all properties and stay up to date with the latest legislation. We have a library of maintenance tasks for each asset, which indicates how often they should be maintained. This is then inputted into Info Exchange and notifies each of the contractors to update progress, such as completion or any actions that have arisen.
How often are you using your system?

On a daily basis. We have over 40 shopping centres plus numerous multi-occupied buildings managed from Belfast and Dublin, and these are all managed daily by the shopping centre management, facilities management and surveyor teams.

Do you have any additional modules within Info Exchange?

We also use Info Exchange for Risk Assessments, Asbestos, Accident and Incident reporting and GDPR. We felt that these business processes would all benefit from the system, as we can now manage all compliance of a building on one platform.
